Please be advised that after reviewing the subject application, your submittal has been
deemed incomplete and further information is required before we are able to proceed
with the application process.
The following documentation is required to complete the application:
1. HOA Letter of Approval and Community Support
Provide a letter of approval from the Harbor View Hills Community Association for
the proposed setback reduction.
I encourage you to also do community outreach with the neighboring properties and
community. It is not required, but it will be beneficial to provide letters of support from
the neighboring properties and residents of the community.
2. CC&R and Architectural Guideline
Provide a copy of the HOA’s CC&Rs and a copy of the Architectural Design
Guidelines for the community.
3. Project Description and Justification
Provide a complete project description and a written statement that justifies the need
to reduce the setback for this property. This statement will serve as the formal
statement to the approving authority on what the project is and why it should be
approved.

4. Public Hearing Requirements
Provide the Mailing Labels in an Excel spreadsheet. Please see the Public Hearing
Requirements for correct formatting.
5. Preliminary Title Report, Grant Deed, or other Proof of Ownership
Provide either a Preliminary Title Report (no older than six months), a recently
recorded Grant Deed, or other documentation showing proof of ownership.
Upon verification of completion, the application will be processed and scheduled for a
Planning Commission Hearing. Should you have any questions regarding submittal
