Webb, Public Works Director - 949-644-3311, dawebb@newportbeachca.gov PREPARED BY: Tom Sandefur, Assistant City Engineer - 949-644-3321, tandefur@newportbeachca.gov TITLE: Utilities Department Locker Room Maintenance — Notice of Completion for Contract No. 9501-1 (25F03) On October 8, 2024, the City Council awarded Contract No. 9501-1 for the Utilities Department Locker Room Maintenance Project to American Construction Company, LLC. The project updated the locker room used by the Utilities Department, which is located at 949 West 16th Street. The work is now complete and staff requests City Council acceptance and close out of the contract. RECOMMENDATION: a) Accept the completed work and authorize the City Clerk to file a Notice of Completion for the project. The updated locker room provides a more efficient use of space, an energy -efficient Light Emitting Diode (LED) lighting system, increased ventilation, and new locker storage, resulting in better working conditions for staff. 6-1 Utilities Department Locker Room Maintenance — Notice of Completion for Contract No. 9501-1 May 27, 2025 Page 2 The contracted work has been completed to the satisfaction of the Public Works Department. A summary of the construction cost is as follows: Original Bid Amount: $ 232,500.00 Actual Cost of Bid Items Constructed: $ 227,500.00 Total Change Orders: $ 23,981.22 Final Contract Cost: $ 251,481.22 The total contract amount was $251,481.22, approximately 8.2% higher than the original bid amount. Additional work included relocating an ice machine, adding insulation, relocating a gas line, hydro jetting the sewer line to remove blockages, and additional concrete removals. A summary of the project schedule milestones is as follows: Estimated Start of Construction per Annual Baseline Schedule February 17, 2025 Actual Start of Construction Per Notice to Proceed January 11, 2025 Estimated Completion Per Annual Baseline Schedule May 9, 2025 Substantial Completion Date Inclusive of Extra Work April 8, 2025 FISCAL IMPACT: The Utilities Department Locker Room Maintenance Project was funded from the Fiscal Year 2024-25 Capital Improvement Program Budget. Funds for the construction contract were expended from the following accounts: Account Description Account Number Amount Water Enterprise Fund CIP 70101-980000-25F03 $ 251,481.22 Total: $ 251,481.22 ENVIRONMENTAL REVIEW: On October 8, 2024, City Council found this project exempt from the California Environmental Quality Act (CEQA) pursuant to Section 15301 (Existing Facilities) of the CEQA Guidelines, California Code of Regulations, Title 14, Chapter 3, because it has no potential to have a significant effect on the environment. NOTICING - The agenda item has been noticed according to the Brown Act (72 hours in advance of the meeting at which the City Council considers the item).
